02The problem at the gate
The gate still runs on paper and phone calls.
Right now a guard is calling a resident who isn’t picking up, three cars are waiting, and a rider is insisting he was sent. Sound familiar?
- 01
“Write your name here.”
The logbook. Names nobody can read, pages that go missing, and no way to search when something goes wrong.
- 02
“Who sent you?”
The phone dance. Guests wait outside while guards call residents to confirm. Again and again, every single day.
- 03
“Network no dey.”
Outages. Systems that need the internet stop exactly when the network or the power drops.
- 04
“Who opened the gate?”
No accountability. After an incident, nobody can say who came in, when they came, or who let them in.
- 05
“Madam said I should come.”
Talked-in visitors. Artisans, drivers and riders get in with a first name and a story nobody can check.
03Before and after
Same gate. Same guards. A calmer morning.
Before VillaSafe
- Guests wait at the gate while the guard phones the house
- Names scribbled in a book nobody can search
- The system stalls the moment the network drops
- Incidents end in arguments about who let whom in
- The exco hears about problems at the next meeting
With VillaSafe
- Guests show a QR pass and go through in seconds
- Every entry logged with time, gate, house and guard
- Guards keep checking passes with no network at all
- “Who came in?” answered from your phone, with proof
- The exco sees the week in one clear report
The bridge is one setup with your estate team. Residents join from a link, guards learn one screen, and the logbook retires.

Invite. Share. Scan. Open.
Four steps from a resident’s phone to a lifted barrier, with a record of every one.
Invite
The resident creates a guest pass in the app: who is coming, which day and what time.
Drivers, cleaners and regular visitors can get passes that repeat on set days.

The pass goes to the guest on WhatsApp as a QR code and a PIN. Guests don’t need the app.

06Who it’s for
Built for every kind of gate.
One calm gate for residents, guests and staff.
Residents invite their own guests, guards stop playing phone operator, and the estate manager finally has a record the exco can trust.
VillaSafe for estates- QR passes for guests, repeat passes for drivers and cleaners
- Panic button and estate-wide notices
- Resident and vehicle records in one place
07Trust and security
Your residents’ details, handled with care.
A gate system knows names, phone numbers and who came and went. We treat that as a responsibility, not a feature.
Only what each person needs
A guard sees today’s expected guests, not a resident’s history. Managers see their own estate and nobody else’s.
Locked down on the way
Everything travels encrypted between phones and our servers, and every table is protected by access rules at the database itself.
Passes that expire
Every pass has a time window and stops working on its own. A screenshot from last week opens nothing.
Careful offline
Gate phones keep only what they need to check passes, with the codes stored scrambled. Offline scans are re-checked when the network returns.
A record you can stand behind
Entries, exits and admin actions are logged with the time and the person, so questions end in facts, not arguments.
Only what the gate needs
We collect the details a visit needs and nothing more, the principle at the heart of the Nigeria Data Protection Act 2023.
08Straight answers
The questions every exco asks.
Guards, network, residents, data. Here’s what estate committees want to know before they switch.
Our guards aren’t tech-savvy. Will they cope?
If a guard can use WhatsApp, they can use VillaSafe. The guard app is one screen: scan the code, check the name, let the guest in. We train your guards when we set you up, and short how-to videos cover every task they’ll do.
What happens when there’s no internet at the gate?
The gate keeps working. The guard’s phone holds the passes that can be used at your estate, checks codes with no network, and keeps a record of every entry. When the connection returns, it syncs everything and flags anything that changed in the meantime.
Will residents actually use it?
Residents use it because it saves them the phone calls from the gate. Sending a pass takes a few taps, and guests don’t install anything: the pass arrives on WhatsApp. You can invite every resident with a single sign-up link for your estate.
Is our residents’ data safe?
Each person sees only what their role needs: guards see today’s expected guests, managers see their own estate. Data travels encrypted, every table is protected by access rules, passes expire on their own, and offline gate phones store codes in scrambled form. Our trust and security page has the detail.
We already use a logbook. Why change?
A logbook records what a guard manages to write down. VillaSafe records what actually happened: who invited the guest, when they arrived, which gate and which guard let them in. You can search it in seconds and put it in front of your exco.
Do we need new gates or special hardware?
No. VillaSafe runs on the phones and tablets you already have. If you want barriers that lift by themselves, turnstiles or RFID car tags, we supply, install and connect them, and VillaSafe works with many gates already in place.
How does setup work?
Four steps: a free demo, a visit to your gate, setup with your residents and guards, then go-live with your team trained. How long it takes depends mostly on the size of your estate and whether you’re connecting hardware; we’ll give you a timeline after the site visit.
How much does VillaSafe cost?
It depends on the size of your estate and what you want at the gate. After a short call or a site visit, we put together a plan that fits your estate, with no obligation.
