Getting started
We already use a logbook. Why change?
A logbook records what a guard manages to write down. VillaSafe records what actually happened: who invited the guest, when they arrived, which gate and which guard let them in. You can search it in seconds and put it in front of your exco.
How does setup work?
Four steps: a free demo, a visit to your gate, setup with your residents and guards, then go-live with your team trained. How long it takes depends mostly on the size of your estate and whether you’re connecting hardware; we’ll give you a timeline after the site visit.
Is VillaSafe only for residential estates?
No. Offices, schools, hospitals, places of worship, industrial sites and security companies use the same tools: visitor passes, staff and contractor codes, live gate logs and reports.
Can we get reports for exco or residents’ association meetings?
Yes. Managers can search and filter every entry and exit, and export reports for meetings and audits.
Guards and the gate
Our guards aren’t tech-savvy. Will they cope?
If a guard can use WhatsApp, they can use VillaSafe. The guard app is one screen: scan the code, check the name, let the guest in. We train your guards when we set you up, and short how-to videos cover every task they’ll do.
What does the guard do when someone turns up without a pass?
The guard can call the resident straight from the app to confirm before opening the gate, and the visit is recorded either way. No more hunting for phone numbers in a notebook.
We use a security company. Does that change anything?
It makes things easier. Security companies can run all their client sites from one login, see their guards’ activity and share proper audit trails with each estate.
Residents and guests
Will residents actually use it?
Residents use it because it saves them the phone calls from the gate. Sending a pass takes a few taps, and guests don’t install anything: the pass arrives on WhatsApp. You can invite every resident with a single sign-up link for your estate.
What if a guest doesn’t have a smartphone?
Every pass has a PIN as well as a QR code. The guest reads the PIN out at the gate and the guard checks it in the app.
Can drivers, cleaners and other regular visitors get a standing pass?
Yes. Residents can create passes that repeat on the days and hours they choose, so regular staff aren’t stopped every morning and the estate still has a record of every visit.
Can residents raise an alarm?
Yes. Every resident has a panic button in the app. One tap alerts estate admins and security at once, and each response is tracked.
Network and power
What happens when there’s no internet at the gate?
The gate keeps working. The guard’s phone holds the passes that can be used at your estate, checks codes with no network, and keeps a record of every entry. When the connection returns, it syncs everything and flags anything that changed in the meantime.
What about power cuts?
The guard app runs on a phone or tablet, so it keeps working on battery when the power goes. Gate barriers and readers need their own power; we can advise on backup when we visit your gate.
Data and privacy
Is our residents’ data safe?
Each person sees only what their role needs: guards see today’s expected guests, managers see their own estate. Data travels encrypted, every table is protected by access rules, passes expire on their own, and offline gate phones store codes in scrambled form. Our trust and security page has the detail.
Who can see our estate’s data?
The people your estate gives access to, each limited to their role, and the VillaSafe staff who support your account. We use it to run your gate. Our privacy policy explains what we keep, why, and for how long.
Gates and hardware
Do we need new gates or special hardware?
No. VillaSafe runs on the phones and tablets you already have. If you want barriers that lift by themselves, turnstiles or RFID car tags, we supply, install and connect them, and VillaSafe works with many gates already in place.
Plans and support
How much does VillaSafe cost?
It depends on the size of your estate and what you want at the gate. After a short call or a site visit, we put together a plan that fits your estate, with no obligation.
What support do we get?
Our team in Lagos sets you up, trains your guards and estate staff, and stays on hand afterwards. You can reach us by phone or WhatsApp.
Do you work outside Nigeria?
VillaSafe is built in Lagos and works anywhere guards have a phone. If your estate is in Ghana, Kenya, South Africa or elsewhere in Africa, talk to us about getting set up.
